What does a day with GPS time tracking look like?

A day with GPS time tracking is two taps on a phone, and BarnOps reads the location only at those two moments. Say Jess works the 6:30 AM feed round at a 40-stall barn. She taps Clock In. The phone reads her position once and checks it against the barn's location. If she seems more than about 200 meters away, the app shows how far off she looks and asks whether to clock in anyway. The server then checks the punch against the barn's radius (250 meters by default), and a punch outside it is saved and flagged for review. The time on the record comes from the server, not her phone's clock.

Between the taps, nothing is tracked. After turnout and stalls, she taps Clock Out and the location is read again. If her shift is on the published schedule, the barn has turned on staff clock reminders in Settings, and she forgets, she gets a clock-out reminder a few minutes after it ends. A shift longer than the barn's maximum (12 hours by default) is flagged.

On Friday the manager opens Timesheets & Payroll. Each shift shows Clocked in, Needs review, Not approved, or Approved, and flagged shifts show the reason. The manager approves the clean shifts in one step, fixes a missed punch with a written reason, locks the pay period, and downloads a CSV for the payroll provider.

What gets recorded?

Each shift saves the punch plus the evidence behind it:

• ✓Clock-in and clock-out times from the server's clock, with the phone's time kept as evidence.
• ✓Latitude, longitude, GPS accuracy in meters, and whether location permission was granted.
• ✓Distance from the barn and a result: verified, outside, uncertain, or unavailable.
• ✓Whether the phone reported a simulated location, which flags the shift.
• ✓The scheduled shift the punch belongs to, overnight shifts included.
• ✓Status, flag reason, and who approved it and when.
• ✓A history of every punch, manager edit (before and after), and correction decision.

Who can see and change it?

Employees see only their own time; owners and managers review everyone's.

• ✓Staff, instructors, horse trainers, working students, interns, volunteers, managers, and owners can clock themselves in and out.
• ✓Employees can't back-date a punch, edit a closed shift, approve their own time, or clear a flag. They can request a correction with a reason.
• ✓Owners and managers see every entry, add missing shifts, correct shifts with a required reason, and approve time. A manager can't change their own time.
• ✓Pay rates, gross pay, and locking a pay period belong to the owner, or a manager given billing access (a Command plan setting).
• ✓Boarders and clients have no access to time records.

What are the limits?

It checks where someone was at each tap, not what they did all day.

• ✓No continuous tracking. BarnOps doesn't know where someone went between taps.
• ✓Clocking in or out needs a data connection; the app doesn't queue punches offline. If a save fails, tapping again within two minutes reuses the same punch, so it isn't saved twice.
• ✓The default policy, Record only, saves and flags off-site punches. Require verified worksite refuses them. A weak signal can return an uncertain result.
• ✓A shift left open past the maximum is set aside. The employee can't clock out of it and must request a correction with the real time.
• ✓BarnOps totals hours, overtime, and gross pay. It doesn't withhold taxes or pay anyone. A locked pay period can't change until the owner reopens it with a reason.

How do you set it up?

You set it up in barn setup, Settings, the Payroll page, and staff invites.

• ✓Check the barn's saved location during setup. Punches use the configured worksite and radius; review a test punch's verification result before relying on location enforcement.
• ✓In HQ Settings, pick the location policy and the maximum shift length (4 to 24 hours). Punches go to manager review by default.
• ✓On the Payroll page, set the pay schedule (weekly, biweekly, semimonthly, or monthly), overtime threshold (default 40 hours a week), multiplier (default 1.5), and rounding.
• ✓Add each person's hourly rate and the date it starts.
• ✓Invite staff. Each person allows location access the first time they clock in.
