What does a day with care records look like?

A day with BarnOps care records builds a horse's history as the barn works, without anyone sitting down to write it up. At 6:30 AM the feeder marks Maple fed in Feeding Rounds. The app saves who marked her, when, and a snapshot of the feed and medication instructions in place that morning. At 10:00 AM a staff member hand-walks Maple, opens her profile, taps Log Service, picks Hand Walking, adds a note and saves. That writes a care entry with the service, the date and who did it.

Maple is also on a recurring care plan the manager set up: cold hose the left front leg on Monday, Wednesday and Friday, due at 3:00 PM, assigned to the staff member doing afternoon care. The plan appears on Care Tasks for that day with its due time; it is not automatically linked to a shift. The groom taps Complete and can add a note. If the farrier had the horse instead, she taps Skip, and the app requires a reason.

At 5:00 PM the owner messages that the vet changed Maple's grain. The manager edits the feed plan on Maple's profile. BarnOps records which fields changed, the old and new values, and who made the change, and it can send a Horse care update push notification to the rest of the care team.

What gets recorded?

BarnOps records each type of care in its own place, all tied to the horse.

• ✓Feeding: AM and PM fed status, the time each was marked, who marked it, a daily note, and the instructions in place at the time.
• ✓Services logged with Log Service: service type (grooming, turnout, fly service, hand walking, lunging, night check, other, or your own services), date, quantity, notes and who logged it.
• ✓Recurring care tasks: horse, task name, instructions, weekdays, start and end dates, due time, assigned staff, and each day's outcome (completed, skipped with a reason, or reversed with a reason).
• ✓Treatment log entries for vet visits, medications, vaccinations, dental work, emergency farrier calls and wound care, with photos and follow-up dates.
• ✓Feed and medication instruction changes: the fields changed, previous and new values, who changed them, and when.
• ✓Weight check-ins, when enabled for a horse: weight, body condition score from 1 to 9, side, front and back photos, and notes.

Who can see and change it?

Barn owners, managers and staff log services and work the care task list for every horse. Only owners and managers create or end recurring care plans and reverse an eligible recorded outcome. Staff can complete or skip tasks that are assigned to them or to anyone. Boarders can feed their own horses when the barn's Feed horses permission allows it. Exporting the care log, feeding log and treatment log as CSV files from the web dashboard is limited to owners and managers.

What are the limits?

Care records cover what the barn does. A few edges are worth knowing before you rely on them.

• ✓Log Service records a date, not a time of day.
• ✓Care task outcomes can be recorded for today or up to 31 days back, never for a future date.
• ✓Once a care plan has recorded care, its weekdays, start date and billing cannot be changed. You end the plan and start a new one, and the history stays.
• ✓Logging a service can create a pending charge only if that service is in your price list and is not included in the horse's board package. Invoicing is part of billing on the Command plan.
• ✓Records save when the phone has a connection. If a save fails, the app says so.

How do you set it up?

• ✓Add your horses with their feed plans, medications and care notes.
• ✓Add the services you offer to your price list so they appear in Log Service.
• ✓Create recurring care plans for horses with regular care, and assign each to a staff member or to anyone.
• ✓Review boarder feeding access, then invite staff to the mobile app. Confirm the access needed for each separate care workflow rather than assuming one switch covers every type of record.
